Effective upon payment
By requesting and receiving an invoice and making payment, you (“the Client”) agree to be bound by the following Terms and Conditions set forth by Electric Bear Group Ltd.

1. Experience & Voucher Sessions (Discontinued as of February 2023)
1.1 Service
Services under this category have been discontinued. However, outstanding vouchers purchased prior to February 2023 will be honored in accordance with the previous terms.
1.2 Booking
1.2.1 Bookings are allocated on a first-come, first-served basis.
1.2.2 Confirmed bookings may be rescheduled or canceled at the sole discretion of Electric Bear Group Ltd.
1.2.3 Clients requesting to reschedule are subject to a £15 administrative fee.
1.2.4 Waivers for rescheduling fees due to illness require valid proof and are at the discretion of Electric Bear Group Ltd.
1.2.5 Electric Bear Group Ltd. reserves the right to decline any booking request.
2. Studio Recording
2.1 Service
2.1.1 Rates are subject to change at the discretion of Electric Bear Group Ltd.
2.1.2 No standing discounts or bundle deals are offered. Any discount is discretionary.
2.1.3 Service delivery is contingent on adherence to the payment terms (see Section 2.3).
2.1.4 Non-compliance with payment terms absolves Electric Bear Group Ltd. of any service obligation.
2.1.5 The studio operates strictly by appointment only.
2.1.6 Hours of operation are governed by local council regulations and managed by Electric Bear Group Ltd.
2.1.7 All studio sessions include an engineer. This is non-negotiable.
2.2 Booking
2.2.1 First-come, first-served basis.
2.2.2 Provisional bookings are not considered confirmed.
2.2.3 Confirmed bookings may be amended or canceled by Electric Bear Group Ltd.
2.2.4 Health-related cancellations may be exempt from fees with valid proof and company approval.
2.2.5 Bookings may be refused or canceled at any time.
2.3 Payment
2.3.1 A non-refundable deposit of at least 50% is required to secure any booking.
2.3.2 The remaining balance is due on or before the day of the session, unless otherwise agreed in writing.
2.3.3 Failure to complete payment may result in session cancellation or withholding of deliverables.
2.4 Dry Hire
2.4.1 Facilities may be dry-hired to approved professionals.
2.4.2 Dry hire is granted at the discretion of Electric Bear Group Ltd.
2.4.3 Staff removal during dry hire is not guaranteed.
2.4.4 Payment terms match those set in 2.3.
3. Music & Audio Production
3.1 Service
Same provisions as Section 2.1 apply.
3.2 Booking
Same provisions as Section 2.2 apply.
3.3 Payment
Same provisions as Section 2.3 apply.
3.4 Music Production Ownership
3.4.1 Clients retain full ownership of produced material unless agreed otherwise.
3.4.2 Partial ownership may be negotiated in exchange for reduced payment.
3.4.3 Such arrangements are solely managed between clients and Electric Bear Group Ltd. staff.
3.4.4 Proposals for ownership splits may be declined without justification.
3.5 Post-Production
3.5.1 Mixing and mastering services are provided as available.
3.5.2 Turnaround times are not guaranteed unless agreed.
3.5.3 Work is prioritised by order of confirmed projects.
3.5.4 Deliverables include WAV and MP3 files unless otherwise requested.
3.6 Additional Charges
May apply for:
•Mix revisions
•Performance and clean edits
•Extra studio time
•Multitrack or stem exports
•Remasters or alternate master formats
4. Live Equipment, Event & Personnel Hire
4.1 Service
4.1.1 Quotes are provided upon request and do not confirm bookings.
4.1.2 Upon payment, the service will be fulfilled as agreed or replaced with a comparable alternative.
4.2 Payment Structure
4.2.1 To confirm your equipment hire, event or personnel hire, we require a non-refundable deposit. Electric Bear Group Ltd operates a tiered deposit system based on the time between the booking and the event date:
– Bookings made 0–2 months before the event require a 50% non-refundable deposit.
– Bookings made 2–6 months before the event require a 35% non-refundable deposit.
– Bookings made more than 6 months in advance require a 20% non-refundable deposit.
All remaining balances are due by the agreed due date, typically set as the date of the event, unless otherwise specified in writing.
4.2.2 Custom payment terms may be offered case-by-case.
4.2.3 Time changes may incur additional charges.
4.3 Other Conditions
4.3.1 Clients are responsible for weather-proofing unless otherwise agreed.
4.3.2 Insurance documentation is available upon confirmation.
4.3.3 Clients assume full responsibility for all hired equipment. Damages must be reimbursed or legal action will be pursued.
5. Conduct & Facility Terms
5.1 Equipment Use
5.1.1 Electric Bear Group Ltd. may provide drum shells and guitar/bass amplifiers for client use, subject to availability at the time of the recording session. In the event that such equipment is unavailable, it is the client’s sole responsibility to supply all required instruments and associated equipment necessary for their session.
5.1.2 Clients are responsible for ensuring that all instruments and equipment brought into the studio are in full working condition, including but not limited to being properly serviced, tuned, and maintained. Electric Bear Group Ltd. shall not be held liable for any delays, disruptions, or additional studio time incurred due to a client’s failure to meet these requirements. Any additional studio time required under such circumstances may be charged at the standard hourly or day rate.
5.1.3 Clients hiring the studio will be granted access to Electric Bear Group Ltd.’s professional recording equipment, including but not limited to microphones, preamps, stands, leads, and other pro-audio devices. Any damage, whether accidental or intentional, caused to the equipment or property belonging to Electric Bear Group Ltd. shall be the full financial responsibility of the client. The client agrees to cover all costs associated with repair or replacement, as determined solely by Electric Bear Group Ltd.
5.2 Behavioural Conduct
5.2.1 Disrespectful, abusive or threatening behaviour may result in immediate termination of services and removal from the premises. Legal action may follow.
6. Installations, Repairs & Professional Services
6.1 Service Provision
6.1.1 Proof of insurance is available upon request.
6.1.2 Electric Bear Group Ltd. is under no obligation to accept personnel provisions by clients, regardless of whether it is done to reduce cost, improve timescale or other motives.
6.1.3 All warranty and returns documentation will be provided.
6.1.4 Electric Bear Group Ltd. is not responsible for post-project maintenance or warranty claims.
6.1.5 For on-site work, policy information must be shared in advance.
6.2 Payments
6.2.1 Clients must pay for components upfront.
6.2.2 Procurement begins upon payment of the component invoice.
6.2.3 Remaining fees are invoiced post-completion.
6.2.4 Projects will not begin until the component invoice payment is received in full.
6.2.5 Fees may apply for project planning, even if the project is not executed.
7. Quotations
7.1 Electric Bear Group Ltd. reserves the right to apply a contingency margin of up to 15% to account for market fluctuations. This may be included at the company’s discretion and does not require explicit disclosure unless deemed appropriate. Quotes expire after 30 days and must be reconfirmed.
8. General Terms
8.1 Verbal amendments to these Terms & Conditions may be made on a case-by-case basis but do not apply to future engagements.
8.2 For services involving third-party promotions (e.g., Groupon), the respective provider’s Terms & Conditions shall apply and may supersede these terms where applicable.
9. Legal Provisions
9.1 Entire Agreement
These Terms and Conditions constitute the entire agreement between the Client and Electric Bear Group Ltd. concerning the services provided and supersede any prior agreements, discussions, or representations, whether written or oral.
9.2 Governing Law & Jurisdiction
These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising from or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
9.3 Severability
If any provision of these Terms is found to be invalid, illegal, or unenforceable for any reason, the remaining provisions shall remain in full force and effect.
9.4 Waiver
The failure of Electric Bear Group Ltd. to enforce any right or provision under these Terms shall not constitute a waiver of such right or provision unless acknowledged and agreed to in writing.
