Cancellation Policy

  1. Groupon & Voucher Experience Sessions

     

1.1 In the event of a client-initiated cancellation, Electric Bear Group Ltd is under no obligation to offer an alternative session unless expressly requested by the client and subject to availability.

1.2 For cancellations made within 7 calendar days of the scheduled session, a £10 rescheduling fee will apply in order to secure a new appointment. This fee is non-negotiable and non-refundable.

1.3 Cancellations made 8 or more calendar days prior to the scheduled session will not incur a rescheduling fee, and the client may request to rebook subject to availability.

2. Recording Studio Bookings

2.1 Electric Bear Group Ltd is committed to providing appropriately qualified staff and suitable facilities for all confirmed studio bookings.

2.2 Bookings of up to 2 hours in duration require full payment in advance. This payment is non-refundable and confirms the session.

2.3 Bookings of 3 hours or more require a minimum 50% non-refundable deposit to secure the session.

2.4 All outstanding balances must be paid by the invoice due date, which is typically the date of the booked session, unless otherwise agreed in writing.

2.5 Failure to attend a booked session without prior notice will result in immediate forfeiture of the booking. Rebooking or rescheduling in such cases is entirely at the discretion of Electric Bear Group Ltd and subject to availability. Exceptions may be considered for the following circumstances, provided that appropriate supporting evidence (e.g. a doctor’s note) is supplied:

•Illness or injury

•Bereavement

•Adverse weather conditions rendering travel unfeasible

2.6 In the event of cancellation due to one of the exceptional circumstances listed in Clause 2.5, Electric Bear Group Ltd shall either offer a suitable alternative session or provide a 50% refund where full payment has been made.

2.7 Cancellations for any reason not covered under Clause 2.5 shall render all payments non-refundable, excluding any explicitly non-refundable deposits as set out in Clauses 2.2 and 2.3.

2.8 Electric Bear Group Ltd reserves the right to amend or update its booking terms, conditions, and policies at any time. Any changes will be made available to clients in writing or via the company’s website.

3. Rehearsals

3.1 Rehearsal bookings cancelled within 72 hours of the scheduled session are subject to full payment, including any hire extras or equipment add-ons.

3.2 Rehearsals cancelled more than 72 hours in advance will not incur any cancellation charges.

3.3 Clients are liable for the full cost of repair or replacement in the event of damage to any studio equipment, instruments, or facilities caused by negligence or misuse during their booking.

4. Events

4.1 Deposits

Electric Bear Group Ltd operates a tiered deposit system based on the time between the booking and the event date:

Bookings made 0–2 months before the event require a 50% non-refundable deposit.

Bookings made 2–6 months before the event require a 35% non-refundable deposit.

Bookings made more than 6 months in advance require a 20% non-refundable deposit.

All remaining balances are due by the agreed due date, typically set as the date of the event, session, or commencement of works, unless otherwise specified in writing.

4.2 Cancellations

If an event is cancelled by the client at any time, Electric Bear Group Ltd reserves the right to retain the applicable non-refundable deposit in line with the tiered structure above. Refunds of any additional payments (beyond the deposit) may be issued at the sole discretion of Electric Bear Group Ltd and are not guaranteed.

4.3 Weather-Related Cancellations

If an event is cancelled due to weather conditions and falls outside the control of either party, any refund will exclude the non-refundable deposit. Any additional payments received beyond the deposit may be refunded at the discretion of Electric Bear Group Ltd.

4.4 Custom Terms

Electric Bear Group Ltd reserves the right to offer custom or individual deposit and cancellation terms for specific events. These terms are unique to the event in question and do not set a precedent or carry over to any future bookings.
